Job Title: Maintenance Coordinator

Job Summary:

The Maintenance Coordinator is responsible for overseeing the maintenance operations within our property management portfolio. This role ensures that all maintenance requests are addressed promptly and efficiently, coordinating between property managers, maintenance manager, technicians, and external vendors. The Maintenance Coordinator will also manage the maintenance schedule, prioritize work orders, and ensure that all work complies with company standards and regulatory requirements.

Key Responsibilities:

- Work Order Management: Receive, prioritize, and assign maintenance work orders. Track progress and ensure timely completion.

- Vendor Coordination: Schedule and coordinate with external vendors and contractors for specialized repairs and services. Obtain quotes and manage vendor relationships.

- Preventative Maintenance: Develop and oversee a preventative maintenance schedule to minimize downtime and unexpected repairs.

- Communication: Act as the primary point of contact between tenants, property managers, and maintenance staff. Ensure clear communication on work order status and timelines.

- Inventory Management: Monitor and maintain inventory levels for maintenance supplies and equipment. Place orders as necessary to ensure availability.

- Compliance: Ensure that all maintenance activities comply with local, state, and federal regulations, as well as company policies.

- Reporting: Prepare regular reports on maintenance activities, work order status, and budget usage for management review.

- Emergency Response: Coordinate emergency repairs and maintenance, ensuring a rapid response to urgent issues.

- Training: Provide training and support to maintenance staff on procedures, safety protocols, and company standards.

- Record Keeping: Maintain accurate records of all maintenance activities, including work orders, vendor invoices, and inventory logs.

Qualifications:

- Education: High school diploma or equivalent. An associate degree in a related field is a plus.

- Experience: Minimum of 2 years in a maintenance-related role, preferably in property management. Experience in a coordinating role is preferred.

Skills:

- Strong organizational and multitasking abilities.

- Excellent communication and interpersonal skills.

- Proficient in using maintenance management software (AppFolio).

- Knowledge of basic maintenance and repair procedures.

- Ability to work under pressure and manage time effectively.

Additional Requirements:

- Valid driver’s license and reliable transportation.

- Familiarity with maintenance troubleshooting, local building codes and regulations a plus.
